Filter Leads Deals or Patients
Filters let you narrow down your Leads, Deals and Patients lists so you only see the records you need, for example leads with a specific status, deals over a certain amount, or patients with an outstanding balance. Filtering works the same way on all three lists.
Filters you add from the list page are temporary. If you want to reuse a filtered list (for example, to send an SMS Campaign), save it as a view. See Part 4 below.
Part 1: Opening the Filters Panel
- In the top menu, click Leads, Deals or Patients.
- Click the All Contacts tab to start from the full list. If you open a saved view tab instead, that view's filters are already applied and you will see them in the Filters panel.
- Click the Filters button in the top right corner. The Filters panel will open on the right side of the screen.
Part 2: Adding Filters
- Under Available Properties, type the property you want to filter by in the Search property box (e.g., Lead Status) and click it.
- Select a condition (e.g., Any Of) and enter or pick the value(s) (e.g., New and In Progress).
- Click Save Filter. The list updates right away.
- To add another condition, click Add Filter and repeat the steps above (e.g., Created Date > Is (Relative) > Last 30 days).
- Close the panel. Each filter you added is shown as a tag next to the Look for a record search box.
- Click Show total next to Results to see how many records match your filters.
When you add more than one filter, a record must match all of them to be shown.
Examples
- Leads: Lead Status > Any Of > New, In Progress
- Deals: Deal Status > Is > Contract Closed, and Total > Greater Than or Equal > 1000
- Patients: Total Deal Balance > Greater Than > 0, and Earliest Appointment Date > Is After > a date
Part 3: Editing and Removing Filters
- To change a filter, click Filters, then click Edit Filter under the filter you want to change. Update the condition or value and click Save Filter.
- To remove a filter, click the x on its tag next to the search box, or click the trash icon next to the filter in the Filters panel.
Part 4: Saving Your Filtered List as a View
- With your filters applied, click the three dots button next to Filters.
- Click Save View.
- Enter a Name for the view (e.g., "New Leads - Last 30 Days").
- Turn on Private if only you should see this view.
- Click Save. The view is added as a new tab above the list, and it keeps your filters, columns and sorting.
Saved views can also be selected in the Send to field when you create an SMS Campaign.
Filter conditions:
The conditions you can pick depend on the type of property:
- Text properties (e.g., First Name, Email, Phone): Exists, Does not exist, Contains, Doesn't Contain.
- Option properties (e.g., Lead Status, Deal Status, Source): all text conditions, plus Is, Is Not, Any Of and Is not any of. Any Of lets you pick several values at once.
- Date properties (e.g., Created Date, Closed Date, Last Activity Date): Is (Relative) (Today, Last 7 days, Last 14 days, Last 30 days, Last 90 days), Is, Is After, Is Before, Is Between, Exists and Does not Exist.
- Number properties (e.g., Total, Total Paid, Total Calls): Greater Than, Greater Than or Equal, Less Than, Less Than or Equal, Equal and Between.
